Global Health Night 2023 Student Poster Fair guidelines

We look forward to your participation as a poster presenter at our upcoming McGill Global Health Night. This event will take place on Wednesday, November 9th, 2023, in the Ballroom of New Residence Hall, 3625 Avenue du Parc in downtown Montreal.

Submit your poster abstract

  • The first step toward participating in the Global Health Night Poster Fair is to submit a poster abstract. This is a mandatory step. Please submit your abstract ASAP and no later than Sunday, October 1, 2023, at 11:59 PM.
  • Only one abstract should be submitted per poster – there is a section in the abstract submission form to list multiple authors.

Register to attend Global Health Night

  • All poster presenters must register to attend Global Health Night. You must use the registration form as space is limited.
  • For posters with multiple authors, each author who is planning to attend Global Health Night must register separately.

Poster format and layout instructions

  • Poster size: 42 inches (wide) x 45 inches (tall) or less to ensure your poster fits on the poster boards.
  • Font size: Ensure fonts are large and clear. Size 28 is the recommended minimum.
  • Margins: Keep text, logos and images away from the edges. Leave at least a 3/8” margin.
  • Resolution: use a minimum resolution of 300 dpi.
  • Keep the use of transparencies/gradients minimal. Avoid overlapping many elements with transparencies/gradients, as they may not print as they appear on your screen.

Printing your poster

  • You are free to print with the vendor of your choice. Global Health Programs has worked with McGill Printing (3465 Durocher Street) and Copie Nova (near campus: 1015 Sherbrooke Street West) in the past and we have been very satisfied with their services.

Digital File Format:

  • Most printing services will require your poster file to be a PDF (Adobe Acrobat)
  • To avoid delays, please verify that your PDF is at the dimension you are printing at: 42” (wide) x 45” (tall) or less. You can verify the file in Acrobat File > Properties > Description Tab - Page Size.

To convert your file to a PDF:

Powerpoint:

  • For the correct size: Design -> Slide Size -> Custom Slide Size
  • For the PDF Format: File -> Export -> Create PDF

Illustrator:

  • File -> Save As -> Select pdf, PFD/X‐1 -> Save PDF
  • Then double-check that the PDF saved is as you intended.

Canva:

  • For the correct size: Create a Design -> custom size (max 42” wide by 45” tall).
  • For the PDF: Share -> Download -> “PDF Print” -> Flatten PDF

Google Slides :

  • For the correct size: File -> Page setup -> custom
  • For the PDF format: File -> Download -> PDF

Mac:

  • You can create a pdf from any software on a Mac
  • File -> Print -> in Pop‐Up print box, click on down arrow next to PDF -> in bottom‐left corner -> select Save PDF -> Save (you will need to create a custom page size e.g. 42”x 45” else it will default to 8.5” x 11”)


Day of the event: Poster fair and setup instructions

These times are meant to be general guidelines. The event schedule is being finalized and will be communicated with poster presenters.

Set up and poster fair (1:00-3:30 PM)

  • You are responsible for printing and bringing the poster to the venue and for setting it up between 1:00-3:30 PM on Thursday, November 9th.
  • The Poster Fair runs 4:00-5:30 PM. Please be ready to stand by your poster for this duration.
  • If you are unable to attend at the last minute, please email ghp.med [at] mcgill.ca.
  • If you are available to volunteer with GHP to assist with setting up posters (1:00-3:30 PM), please email ghp.med [at] mcgill.ca

Poster removal: 7:30 PM

  • Posters will remain up until the end of the event (approximately 7:30 PM).
  • Once the event has concluded, please take down your poster and take it home with you.
  • If you must leave before the event has concluded, please leave your poster and we will store it at the GHP office for pickup.
  • Posters can be picked up at the reception desk of the School of Population and Global Health (SPGH) located at 2001 McGill College Ave, 12th floor. Please note that the SPGH reception is open on weekdays from 9:00 AM - 4:30 PM and that the office is closed during lunch from 12:00-1:30 PM. Posters not picked up by November 18th will be discarded.
  • If you are available to assist GHP with taking down the posters at 7:30 PM, please present yourself at the registration table after the event.
